Business as usual for The Write Impression
It is said that forewarned is forearmed and the TWI team were poised and ready, observing the Coronavirus pandemic in recent weeks as it made its way through mainland Europe. We were, and remain diligent and focused for all our clients, both nationally and internationally as we face new challenges every day.
Business continuity is key, and from the off we have looked to ensure that the essential services we provide to our clients continue as usual. The show must go on and we have a robust technology suite in place, enabling our team to work remotely and yet remain as a single unit that is the well-oiled TWI machine.
We had a baptism of fire in February when we were called to manage crisis communications for one of the first reported cases of COVID-19 in an Essex primary school. Working with the school and the governing Trust, we mobilised a crisis communications plan as television, radio and print media outlets from all over the UK descended on the story. We managed the situation in real time over seven days, where thankfully both reported cases were coronavirus negative.
Lessons learned? We are working in real-time media in 2020, with social media leading the way in misleading news reports and conjecture. Any crisis communications plans need to be ready to go, robust, adaptable and regularly reviewed with agreed lines of communication.
We know that smaller businesses may not have access to a dedicated communications team, and we want to help. We have put together informative, useful and free communication documents, available to download from our website including statements for businesses, working from home policies and e-communications for staff and customers. These will be monitored and updated as things develop and will remain free of charge to access as long as our fellow businesses need them.
So, how are we working?
Team TWI is now fully remote, so we thought we would share with you some of the tools and technology we use to enable our agile workforce to work seamlessly and effectively.
Monday.com is a fantastic work operating system which enables busy, constantly evolving companies and organisations to run projects, processes and everyday work plans. Monday enables us to assign and audit tasks in real-time, share and store information and track marketing schedules for all our clients, and each of their specific projects.
Microsoft Teams – We are a creative bunch, so team meetings are vital to ensure we are at our best. Thanks to Teams, our meetings are still happening every day, just with the addition of family pets and children in the frame. We are also utilising this valuable tool for client meetings to collaborate and continue best practice. Interesting fact? Microsoft Teams is fast becoming the hub of the teamwork ethos with a reported 500% increase in usage in just one week in March 2020.
Zoom is another excellent tool for virtual meetings, as well as webinars, video conferencing, calls and more. We can video conference, screen share, record and collaborate anywhere in the world at the touch of a button – no working in our PJs for us!
Dropbox– This file hosting service provides us with all our data, securely at our fingertips wherever we are in the world. We are able to collaborate with colleagues, share and update files from our own devices, syncing to the Cloud for maximum productivity.
PA Answer ensures that we never miss a call. In addition to our mobiles when we are out of the office or busy on other calls, we rely on the professional services of the team at PA Answer to make sure calls are answered efficiently, messages relayed quickly, and urgent calls patched through.
Agility PR Solutions– We don’t just run campaigns in the UK, but in Europe, the UAE, US and beyond as well, so we need a powerful media platform which enables us to find the right media contacts. Agility gives us access to more than 820,000 media contacts, from regional press to international news feeds. We can create and monitor live social streams, track campaigns and identify new influencers in real time and give long-term visibility to our stories through the platform’s digital newsroom.
